ING Renault F1 Team has chosen Oracle content management (formerly Stellent) technology for managing, sharing and securing documents and information across the organisation – both remotely and trackside.
The team says it will also seal all confidential and sensitive documents, such as car designs and technical specifications, using Oracle Information Rights Management (formerly Stellent SealedMedia) to ensure that only authorised individuals get access.
“We are an information heavy organisation where the slightest bit of data can be the difference between winning and losing,” says Alexandre Rigal, IS project manager, ING Renault F1 Team. “It is essential that we provide the team with access to all the relevant information to help them be more efficient and effective in our goal of remaining Formula 1 World Champions.
Rigal says that in addition to the Renault Group’s existing enterprise content management (ECM) provider, it re-evaluated suppliers such as Alfresco, Documentum, IBM, Vignette and Filenet for an out-of-the-box platform. It says it was looking for a solution to reduce growing storage costs associated with the 100,000-plus documents (80Gb of data) stored by staff, by limiting levels of document duplication occurring across the business.
With individuals saving files on network shared drives, local hard drives, emails, intranet and applications, the company required a more strategic approach to its information management. It was also seeking to reduce the number of email attachments by providing links to files in the central repository for faster and easier sharing of information.
Oracle Universal Content Management was chosen for its ability to make critical documents available securely to staff across two factories and two mobile teams, as well as suppliers, subcontractors and partners across the globe. The team also says it liked the system’s ability to be deployed fast across the organisation, as well as its ease of use for staff, meaning it was likely to encourage user adoption.
Highlighting the volume of new information that needs managing, the ING Renault F1 Team found that at the British Grand Prix in 2006 over 4Gb of data was created over the weekend including 150 documents containing car designs, technical specifications and other important testing and race data. In the future all this information and documentation will be fed and tagged into the Oracle Universal Content Management system automatically for future analysis so as to help advance the cars and team’s performance.
“Oracle content management is providing us with a world class ECM solution that will enable staff in the offices, remote workers and at trackside with access to over 100,000 documents,” says Rigal. “We have also got the added security of being able to seal car design and intellectual property (IP) documents to ensure that only authorised staff can view them. We are confident that we have an ECM platform that will help us stay in the lead.”
